Turn Trade Show Notes into a Focused Sourcing Follow-Up
A practical way to turn event notes, contacts and samples into a focused sourcing follow-up after the show.

Sort contacts by the next decision
The first week after an event is the right moment to turn business cards and sample notes into a short working list. Group contacts by what they can help decide: material availability, sample development, production capacity or market information.
This prevents every contact from receiving the same general follow-up and makes it easier to prioritize the discussions connected to a real collection plan.
Confirm the information that affects the programme
Event conversations are a starting point. Before a supplier is added to a development plan, confirm the product capability, expected quantity, timing and any testing or compliance requirements relevant to the intended market.
A useful follow-up message includes the product brief, target window and specific question. It should distinguish between an exploratory request and a confirmed development instruction.
Keep the record useful for the next season
Save material references, product photographs and meeting notes with the decision they informed. Over time, this creates a clearer internal record of what was reviewed, what was sampled and what remains appropriate for a future collection.
